Who We Share Your Data With
We use a trusted software provider, EZFacility, Inc. (a subsidiary of Gary Jonas Computing Ltd.) to run our booking and membership system.
EZFacility acts as our data processor — they only process your data on our instructions and for the purposes described in this notice.
If you contact EZFacility directly about your membership data, they will forward your request to us so we can respond as the data controller.
International Transfers
Your personal data is stored securely on EZFacility’s servers in the United States.
To protect it, EZFacility uses safeguards approved under UK data protection law, including:
- The UK–US Data Bridge (an extension of the EU–US Data Privacy Framework), and/or
- Standard Contractual Clauses approved by the European Commission (as recognised under UK GDPR).
These safeguards ensure your data receives the same high level of protection as in the UK.
How Long We Keep Your Data
- Active members – for the duration of your membership.
- Former members – for 24 months after your membership ends to resolve queries, manage potential legal claims, and meet record-keeping requirements.
After this period, your data will be securely deleted or anonymised.
Our agreement with EZFacility ensures they will delete or return your data when instructed by us.
Your Rights
You have the right to:
- Access your personal data.
- Correct inaccurate or incomplete data.
- Request deletion of your data.
- Restrict processing in certain circumstances.
- Object to processing based on legitimate interests.
- Request data portability.
- Withdraw consent at any time (where processing is based on consent).
- Complain to the UK Information Commissioner’s Office (ICO).
